Meeting Space Use and Policies:
     -Set-up, Clean-up, and Guest Services

All groups are responsible for the set-up and clean-up of meeting materials, food, and beverages. Please leave meeting rooms as they were found. Upon completion of your meeting/event, please notify Tamara Teruel, Operations Associate, prior to your departure from the facility.

Trash containers should be emptied into catering kitchen.

Food to be discarded should be moved to the catering kitchen where trash containers are located.

The Daniels Fund will provide tables, chairs, AV equipment, and any other necessary items pre-arranged during the scheduling phase. Furniture should be left in original state.

Technology needs: Daniels Fund equipment set-up must be arranged by Daniels Fund staff.

On the day of the event we recommend that you:
Please use your best judgement of arrival time for set up of your meeting materials, food, and beverage service.

We request that rooms be left as clean as they were found so that another meeting could immediately follow your event.

Guest Services
Copier/fax machine is available upon request. Paper is also available upon request.

A coat closet is provided on the first floor by the courtesy phones.

Vending machines with snacks and soft drinks are located on the first floor near the catering kitchen.

When available and upon request, pens, flip charts, easels, and washable markers will be provided.

When using the easel post-it sheets, please do not attach them to the Bill Daniels timeline.

Staffing
Daniels Fund associate will be in the building during conferences and meetings to provide guest with assistance as needed.

Additional services include:

  • Assisting your staff with logistical arrangements
  • Offering catering, parking and room arrangement suggestions
  • Provides information on the facility in general
  • Greeting you and helping you begin your set up

Hotel Accommodations
The Operations Associate can assist you with hotel accommodations, should you have out-of-town guests who are attending your meeting or conference.

Building Security
The safety of associates and guests are a top priority of the Daniels Fund. To insure the safety of all parties, security cameras have been installed throughout the building and are monitored.

Smoking
Daniels Fund is a smoke-free environment with the exception of the designated area. The designated smoking area is located on the north side of the building. No smoking is permitted at the main entrance of the building or within 15 feet of any entrance according to state law.

Emergency Procedures
If the fire alarm sounds, you are required to exit the building and will be directed to the nearest exit.

Dial "0" for assistance with any problems, challenges, or concerns during your meeting. The front desk associate will locate Tamara Teruel to assist you.

Meeting Space - Guest Information

  • Restrooms are located on the first floor. Restrooms are handicap accessible.
  • A wheelchair ramp is located on the east side of the entrance.
  • Food and drinks are allowed only in the conference rooms and must be disposed of in the appropriate receptacle.
  • Meeting Space guests are asked to stay within the first floor conference area while attending events in the facility.
  • The Meeting Space is a working office with both Daniels Fund staff and others. Please keep noise level in mind during events. Conversation in the hallways or around work areas should not disrupt those working in the building. Your courtesy is appreciated.
  • Cell phone use within the building should be conducted in our lobby and away from office areas.
  • Guests may use our Meeting Space copier/fax machine -- paper is available upon request.
  • A coat closet is provided for all coats.
  • When available and on request, the Meeting Space will provide pads of paper and pens, flip charts, easels, and washable markers.
  • Bottled water will be provided upon request.

Security

Meeting Space Clean Up

  • Room(s) should be neat and in order for the next group using space. The space should be as neat and orderly as it was when you arrived.
  • Any moved tables and chairs should be placed back to their original layout.
  • Empty all trash containers and place bags in catering kitchen.
  • Remove all left over food to catering kitchen. All items from catering companies should be moved into the catering kitchen. Clean and rinse coffee pots if used.
  • All trash, papers, scraps, and pieces of food should be picked up from floor.
    Table tops should be cleaned if needed.
  • It is very possible your room will be used immediately after your departure. The above requests are made with this in mind. If you have any questions, please speak with Tamara Teruel.
